This is an exciting time for Pacific Centre Family Services Association (PCFSA). As a result of our recent expansion, we are looking for a dynamic Executive Assistant to join our team.

PCFSA is dedicated to maintaining outstanding services for the people we work with through education, counselling and creative programming. We have locations in Colwood, Langford, and Sooke, British Columbia.

What is the role of the Executive Assistant at PCFSA?

Reporting to the PCFSA Executive Director, the Executive Assistant is responsible for providing high-level administrative support to senior management by conducting research, preparing draft funding proposals and statistical reports, handling confidential information requests, and performing clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings. This exempt position works in tandem with other colleagues as required, in an administrative support role with the administrative/management team as a whole. This position establishes work-load priorities and performs tasks with focus given to time-sensitive processing; exercises judgment in selecting and applying established procedures correctly, and in determining when to refer specific processing issues to senior management for clarification.

Who is the ideal candidate to join our team?

  • Post secondary education with 5+ years experience in an office setting, including experience supporting senior level positions and/or a Board of Directors.
  • Knowledge and experience with the non-profit sector. Demonstrated understanding of the dynamics, and ability to deal with and represent a non-profit organization in a positive and supportive manner
  • Experience in event coordination/management
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Ability to multi-task, be pro-active and work accurately (strong attention to detail) in a fast-paced, rapidly changing environment, with minimal supervision.
  • Able to organize and manage large amounts of files, tasks, schedules, and information.
  • Self-directed and able to work without supervision.
  • A positive professional "can-do" attitude and client focused approach.
  • Energetic and eager to tackle new projects and ideas.
  • Solid experience with office management systems, databases and MS Office.
  • Expert level skills in Outlook, PowerPoint, Word and Excel.
  • Experience setting up and maintaining a database.
  • Strong communication skills (via phone, email and in-person).
  • Confident dealing in high level situations with exposure to sensitive information, requiring considerable diplomacy, discretion, integrity and good judgment.
